REPORTS TO: School Office Manager
CLASSIFICATION: Non-Exempt
SCHEDULE: Full-Time, Monday – Friday 8:00 am – 4:30 pm (Flexible schedule)

Cristo Rey Jesuit High School in Milwaukee is a private, Catholic, Jesuit high school serving students of diverse backgrounds living in Milwaukee, WI whose educational options are financially limited. Cristo Rey Jesuit’s mission is to provide an affordable Catholic secondary education with a college prep curriculum and Corporate Work Study Program to prepare graduates for success in college, work, and life.

OVERALL POSITION DESCRIPTION:

Under the supervision of the School Office Manager or his/her designee, the Main Office Administrative Assistant will be responsible for maintaining a professional main office environment, and perform administrative duties, data input in to school databases and other related duties as assigned.

JOB SUMMARY:
The Main Office Administrative Assistant will provide a welcoming, professional and efficient Main Office for the entire High School community, including the school, the business and advancement departments. Specifically, the Main Office Administrative Assistant will be responsible for, but is not limited to:

  • Performing administrative duties and data input support to ensure smooth day‐to‐day operation of the school
  • Ensuring a welcoming, orderly, and professional main office environment
  • Other duties as assigned by the School Office Manager or the Assistant Principal of Student Success

ESSENTIAL FUNCTIONS:

  • Creates and maintains a welcoming and efficient Main Office that emphasizes organization, professionalism, courtesy, discretion, flexibility, friendliness and teamwork
  • Provides assistance to and communicates effectively with the School Office Manager, principal and all school staff
    Collaborates with staff and faculty teams, such as the attendance team, as requested by the School Office Manager and/or the principal.
    Assists with daily communication to and from families
    Maintains school records to provide support to the School Office Manager and the Principal
    Manages correspondence and maintains student files, including all immunization, medical and personal forms for students
    Assists with mailings, copying, and preparation of materials for Cristo Rey Jesuit High School’s marketing office and other school offices
    Enters and updates all necessary information into PowerSchool
    Assists with staff communication
    Provides support with special events, including preparation of materials, ordering of supplies and services related to events, and coordination of persons involved (volunteers, vendors, staff members, visitors, consultants)
  • Assists at events directly related to school activities as needed
    Assists in running various reports, including progress reports, attendance reports, behavior reports, formal report cards
    Assists with the Milwaukee and Wisconsin Parental Choice Program application process and documentation in conjunction with the Admissions and Finance Offices
    Other duties as assigned by the School Office Manager and/or Principal

REQUIRED QUALIFICATIONS AND SKILLS:

  • 3 years of experience in administrative responsibilities required
    Excellent verbal skills; bilingual in English and Spanish required
  • Demonstrated ability to maintain confidentiality and ensure a high degree of professionalism
    Ability to consistently maintain a warm, welcoming presence to a range of stakeholders, even in a fast‐paced, demanding environment
    Excellent writing and editing ability and skilled in transcribing minutes directly onto PC based software or other electronic means
    Self‐starter requiring minimal supervision
    Ability to work in a fast‐paced environment with a high degree of attention to detail and accuracy
  • Ability to work effectively as part of a team and efficiently as an individual
    Ability to use good judgment and to manage and impart information to a range of stakeholders
    Proficient in PC applications and other electronic/web‐based equipment
    Highly proficient in the use of Google suite and other software applications as needed
    Experience with PowerSchool software is preferred
    Flexibility and adaptability as school operations develop
    Organizational skills with attention to detail and accuracy
    Ability to organize, prioritize, schedule and complete job‐related tasks efficiently

    Ability to communicate well with both Cristo Rey Jesuit students and parents
    Sensitivity to the ethnic, racial and religious backgrounds of the student body
    Excellent skills in managing the phone system and reception desk
    Ability to work flexible hours within a 40-hour work week as needed
    Ability to work in a faith‐based organization
    Valid driver’s license; must be insurable with good driving record
    Physical Requirements ‐ Ability to lift 25 lbs.
